However, not all Internet traffic is unimportant. With the rise of broadband technology, more daily business takes place online, which makes the risk of data theft greater than ever. Luckily, there are ways to protect yourself and your data from the unsavory characters who call the Internet home.

What is encryption?

The industry standard for secure Internet transmissions is 128-bit encryption. It encodes messages by using a linked key method. On one end, the message is encoded with a private key. The recipient uses the sender’s public key to decode the message after it arrives. If the message was tampered with in any way, the public key doesn’t decode the message correctly — alerting the recipient that the information shouldn’t be trusted.

Verifying that messages are intact when they arrive is all well and good, but what about confidential messages that shouldn’t be read by anyone but the intended recipient? Say you need to send confidential plans for your newest product line to your marketing manager. You would encode the documents by using the recipient’s public key, ensuring that only his or her private key could decode the information. Anyone else who tried would get a mess of random characters.

To check your Web browser’s level of encryption, open the About dialog box. In Microsoft® Windows® Internet Explorer, select Help > About Internet Explorer. The Cipher Strength field indicates your encryption level.

Use Antivirus and Antispyware Software

Installing a firewall on your PC is vitally important to security, but unfortunately, just blocking the entrance to your system isn’t enough to keep it secure. You also need to have virus-scanning and spyware-detection software installed and running.

Antivirus Methods

These packages need to be updated regularly to remain effective because malicious hackers don’t write one virus and then go home. They write one, and then watch to see what virus-scanning software vendors do to detect it. Hackers learn how to make their viruses less detectable and more virulent — and every time new viruses are released, virus software gets smarter about detecting them. It’s a cat-and-mouse game that catches computer users in the middle. The best steps to take to avoid infection are:

Practice caution when using the Internet — don’t visit questionable Web sites, don’t click on pop-up ads, and don’t click links haphazardly.
Update your virus protection software daily.

Antispyware Methods

Spyware-detection software scans your system for evidence of spyware. Spyware is any software that’s installed without the user’s consent or knowledge and reports data about the user back to the software owner. Spyware can record and relay anything from innocuous data about Web browsing habits to credit card numbers and other highly sensitive data that the user enters at a Web site or stores on the PC.

The best way to reduce your risk of spyware is to avoid getting it in the first place by reading all terms of service agreements carefully before you download software from the Internet, and avoid downloading anything advertised in spam or made available on public peer-to-peer networks. However, no matter how careful you are, spyware is still a risk. You should scan your system for spyware at least once every week — more often is better.

Use Third-Party Tools

Computer hardware and software companies offer tools and utilities to keep your data safe. Some provide enhanced security capabilities, such as double passwords, to help protect against unauthorized access to networks and data. Other options include electronic e-mail signing and encryption, authentication, auditing of data import and export from multiple devices, hardware locks, and more.

Use Secure Passwords

Secure passwords are another component of data security, and they are even more important when you’re working remotely. You should have your PC set up to require a password when you log on to the system. Entering a password every time you start your PC can be tedious, but the added security is worth the extra 30 seconds. What constitutes a good password? The following is a list of characteristics that add up to a secure password:

Length: In general, the longer your password, the more difficult it is to crack. However, you do need to balance the benefit of a very long password with the inconvenience of remembering and typing it every time you need to log on to your PC. Eight characters should be the minimum length for passwords.
Combination of letters (both upper case and lower case), numbers, and symbols: A password that includes uppercase letters, lowercase letters, numbers, and symbols (such as @, $, _, and &) is more secure than one that’s made up of only letters.
Difficult to guess: You should choose a password that’s easy for you to memorize but difficult for anyone else to guess. These types of passwords might be easy to guess:

- Your name or birthday or family members’ names or birthdays

- The name of your pet

- Your user name

- Common strings such as “abcdefg” or “12345″

- Keys that are adjacent on the keyboard, such as “qwerty” or “asdfgh”

- Any word found in the dictionary

However, you can increase the strength of an easy-to-guess password by combining words or misspelling them. For instance, if your name is Mary Smith, “msmith” wouldn’t be a secure password. Instead, try “m@rY_sM1Th.” It’s 10 characters long and includes a number, both uppercase and lowercase letters, and two different symbols. It’s still easy to remember but more difficult to crack.

If you ask your best network engineer to tell you what the network actually is, it’s very likely that they will start by describing the wires in the walls. That’s because their training teaches them that the foundation of every network is the physical layer. The same is true for security.

While most security measures address the top six layers of the familiar Open Systems Interconnect model (ISO/OSI), ignoring the physical layer can have catastrophic consequences. Imagine spending hundreds of thousands on firewalls, intrusion prevention, authentication, encryption and other security measures, and then leaving the door to the server room open so someone can steal the servers.

Eighty percent of companies admit that they’ve experienced significant risk because they ignored the physical security of their company laptop computers. This tremendous risk exposure to your customers presents a critical opportunity for you to add a host of new security services and tremendous customer value to every project that involves desktop, and particularly laptop, computers. Many of your clients may think that laptop theft won’t happen to them, but the statistics you can present are very compelling. In a 2010 study, IDC reported that 97 percent of businesses have experienced laptop theft. Eighty percent of respondents in a recent survey reported known data breaches caused by lost laptops, and only 40 percent have some degree of confidence that the data on the laptop was protected. The odds are only 3 in 100 that your customer won’t experience a lost or stolen laptop.

The cost of the laptop itself is only a fraction of the likely cost of the loss. Between the likelihood of data breaches, stolen intellectual property, lost productivity, replacement and reconfiguration of the device, legal, consultative and potential regulatory expenses, the average total cost of a stolen laptop is estimated to be more than ,000. In some industries, such as professional services, financial services, healthcare and pharmaceuticals, that cost can rise to 3,000. Depending on your customer’s business, failure to focus on physical security can be a very costly proposition.

In one of the other articles on SaaS, Business Applications, SaaS and SMB Market @, we proposed that SaaS will be a mass enabler for SMB (small and medium business) market. In order to provide effective SaaS solutions for enabling multi tenant systems, it is imperative that the key issues of data security and privacy are addressed.

It is important to acknowledge and identify that the requirements, sensitivity to data security and privacy; and pricing levels demand different levels of SaaS enabling. There may be an application that can share the same database among different clients as the application itself is not core to the company and data does not demand the highest level of data security. On the other hand, there may be an application that requires data encryption along with separate and dedicated database as the application data demands highest level of data security.

Let’s look at different levels of SaaS enablement for business applications. The SaaS solution enables a multi-tenant system that can be used by multiple clients. The solution enables a secure and trusted environment where clients can execute business processes with complete confidence.

The critical aspect of multi-tenancy solution is data security & privacy and application security. In simple terms, it is about data separation and application separation. In this article, we shall focus on data security and privacy.

There are multiple mechanisms, which can be used to ensure data separation so that a client does not get access to another client’s data on the same SaaS solution.

1. Database Separation: This solution provides a very high level of data privacy as a separate database is allocated to each customer. This comes at a higher cost due to licensing and operational cost on the SaaS vendor side.

2. Schema/Table Separation: This solution provides a medium level of data privacy as separate tables are assigned to each customer.

3. Data Separation: This solution provides the lowest level of data privacy as same tables are used to store customer data.

4. Data Encryption: Data encryption can be used to provide a very high level of data privacy to customer data. Data encryption can be used with any of the above solutions. Typically data encryption is done using symmetric encryption with algorithms like AES (Advanced Encryption Standard).

One should carefully evaluate application requirements and risk profile to identify the appropriate level of data separation.

A Common Sense Approach to Data Security as Applied to Offshore Accounting Service

When we talk about any “increase” we have to say compared to what. In this case the CPA has to assess the data security for on-shore operations before he can assess the increased risk posed by offshoring.

What is the typical level of data security in a small business or a CPA office?        

Since there are few staff members, there is little separation of duties. Such lack of separation encourages internal security problems.

The data resides in paper files. Paper files are vulnerable to fire and water damage.

The office is not physically secure. Staff members, leasing office personnel, and janitors have keys to the office. Any of them can copy confidential data.

Paper records are not shredded before being discarded.

The computers have no protection from unauthorized users or have relatively weak password control. Often the password is taped to the workstation.

Any email communication is done in the clear.

Workstations have recording devices which makes it easy to copy data.

Usually all workstations have email and internet access. It makes unauthorized transmission of data easy.

 

Let us look at how these factors change when accounting is sent offshore.

Internal control improves because the people who are authorizing the transactions are separated from the people doing the record-keeping.

All files are maintained electronically. Such data is backed up to an off-premises secure server. So threats from fire, water, and copying are significantly reduced.

Offshore contractors restrict physical access to keep unauthorized people out.

Workstations have access to only the data that is processed on that workstation.

Email communications are encrypted.

All recording devices on the workstations are disabled.

Only supervisors have access to email and internet.

 

We believe that best security practices can be installed when the client, the CPA, and the offshore contractor work together.

The first line of responsibility lies with the client. The Better Business Bureau has an excellent pamphlet on how to protect data theft. http://www.bbb.org/securityandprivacy/SecurityPrivacyMadeSimpler.pdf As the pamphlet points out technical solutions are not enough. They must be combined with good practices in everyday management of the company. 

The CPA should advise the client to implement the common sense measures advocated in this pamphlet.

The offshore contractor must apply the same real world as well as technical solutions to security. The offshore contractor must consider the sensitivity of the data being entrusted to them and take appropriate measures to safeguard the information. A responsible contractor would only accept data than is essential to  the task.

Let us now look at whether popular offshore destinations like India are more vulnerable to data theft. According to a March 2007 Symantec report entitled “Symantec Internet Security Threat Report Trends for July- December 2006”, US was the country with highest level of malicious activity. Another common sense conclusion one can draw is that the thieves concentrate on high value targets. You can look at the data compiled by the Privacy Rights Clearinghouse. http://www.privacyrights.org/ar/ChronDataBreaches.htm#CP. During 2005, 2006, through June 20, 2007 they reported 155 million records having been compromised. Out of that less than 1000 records were compromised in attacks that netted 100 records or less. Thus records from an offshore contractor serving small businesses are less likely to be a target of identity thieves.

The CPA needs to assess the sensitivity of the data and put a value on it. The CPA can have the contractor include a liquidated damages clause if the said data is compromised.  If the contractor is not willing to agree to a reasonable liquidated damage figure, find another contractor.

Data security is a complex issue. However, we can enunciate certain principles that can be applied by a small business:

Collect the least amount of data needed to serve the customer.

Since a large proportion of data theft involves the employees, screen them carefully.

In addition, the employees need to be trained to recognize various strategies used by criminals to facilitate data theft.

Take security measures in the office; for example use a locked mailbox, lock the office when it is empty even for a short period of time, shred any paper records before disposal, reformat hard drives before donating, selling, or returning a computer etc.

Take common sense precautions against cyber attacks. Encrypt the sensitive data, use firewalls, and keep your internet security software updated.

Comply with any specific security standards that are applicable to your business. For instance credit card information needs to be secured to a specific standard.

 

Providing security costs time and money. In a competitive world no business can spend more on security than what the market would pay for. Ultimately security is determined by the customers’ willingness to pay. 

While more money can buy more security, one must remember that no security is absolute. Just think about how many times classified information has been stolen from the US government.

Eventually there will be a security breach. How do you deal with such a breach? It seems that the best approach is to inform the individuals or businesses whose data have been compromised, notify the law enforcement authorities, and support the affected parties to monitor their credit reports.

Security is a multi-faceted problem. The key to success is co-operation between the client, the CPA, and the offshore contractor. No one party can be effective without the others.

With most of our financial transactions, medical records,etc. being on our computers, there is an evergrowing need to maintain data security. With nearly 70 million computers using Windows based Operating Systems crashing every day (Source: pcmag.com), the data security becomes a bigger threat to our every day life. Not only this, it also impacts our capability to reproduce some critical documents, if required. This also adds lot of frustration and usually this happens only when you have to work on some important file or use internet. This is a serious issue and Microsoft has responded to this growing concern with their Windows 7 Operating System.

This latest in line from Microsoft features built in tools to not just backup specific files, but also allows you to create a system image that can be used if the computer crashes to restore the computer back to the last image state. It also allows users to create a system repair disc which can be used to recover the comptuer in case of minor breakdown rendering the computer in a non bootable state. This tool also allows users to manage their hard drive space judiciously by performing scheduled backups. It also has the capability to restore selective or user specified data.

The security and privacy of any data that you put on the internet is vitally important. Many of us nowadays use the internet for important things such as paying bills, online banking, paying for things by debit or credit card and much, much more. However, without data security there is every chance that someone could get their hands on your personal details. This means that they could get your bank details, credit card details, passwords to everything and many more things. This could also mean that you are setting yourself up for identity theft. There are, however, things that you can do to protect yourself from this happening. Let’s take a look how.

 

The first thing that you are going to want to do is to get a solid, good quality anti virus software. Many people think that anti virus software is simply to stop your computer getting viruses. However, most anti virus packages these days come with other protection software, including software to stop anyone getting their hands on your personal details, including bank details and passwords, etc. There are several anti virus software packages that you can get for free that offer this kind of protection, even in it’s most basic form. To find a good anti virus software, free or otherwise, you should have a look on the internet, or in computer stores.

 

Another good measure to take if you want to make sure that your data is safe and secure is to make sure that you are using a solid internet browser. Although many people are not aware of this, some browsers are a lot safer to use in terms of privacy. For example, everyone has used Microsoft Internet Explorer at one time or another. Internet Explorer is one of the most well known and widely used browsers in the world. This browser would be a lot more secure to use for banking and other things than some other browsers that don’t offer the same level of protection.

 

One other good idea that we can all use because it is such a simple thing to do, is to clear the cookies on your browser and delete the browser history every time that you log off of your computer. This is a good idea because if anyone were to have access to your computer without you knowing then they could easily get a lot of personal data simply by checking the history, especially if you are still logged on to any websites. This is a very simple method of protecting personal data but many people fail to do so. There are also special packages that you can buy that are specifically for the purpose of protecting personal data, but as long as you take the measures mentioned above then your personal data should be find.

How A File Shredder Can Help You Keep Your Data Secure

Nowadays, computers seem to be everywhere. They have truly revolutionized almost every aspect of modern society, by performing certain tasks much faster and much more efficiently. Because of their great effectiveness and inherent versatility, computers have been adapted for use almost everywhere conceivable. Offices, schools, and homes have all found their own uses for computers.

As computers become more and more commonplace, digital storage of data also becomes more and more the norm. Digital data is what computers can understand and use, and can be stored in a variety of media, such as a computer’s built-in hard disk drive, or removable devices such as CDs and flash drives. Digitizing data has the benefit of making it much easier to work with, organize, and disseminate, using computers.

With this new type of data storage also come issues about keeping data secure. In response, some programs have implemented the possibility of protecting files and directories with passwords.

On the other hand, when files or data are deleted, sometimes it may be the case that their contents are not supposed to be recovered. This is actually not the case when ordinary file deletion is performed! When a file is deleted, it does disappear from its directories, and appears to have vanished completely, as desired. However, it is actually not overwritten on the hard disk itself, and the data remains on the disk, available to be recovered by prying eyes.

In fact, there exist utilities to do just that: recover deleted data, thought to be lost. While this may be a good capability to have, sometimes data just needs to vanish, without any trace. For instance, when selling or transferring a computer, deleting any and all personal or confidential information might become necessary.

Physically destroying the hard disk drive or otherwise rendering it unusable is of course an option, but is not always practical. This is especially true when only a particular file needs to be deleted, and not the entire hard disk.

This is where the use of a file shredder comes in. A file shredder is a program that, as its name implies, is able to permanently delete (or “shred”) a file, directory, or collection of files and directories. This is done by actually overwriting the data on the surface of the hard disk, thus removing the traces of the file that may have been used to recover its contents. Some file shredders perform this overwriting process several times to ensure that, indeed, nothing of the previous information remains.

The data on the disk corresponding to the file or files to be shredded are overwritten with randomly generated data, to mask it. Data recovery after a file has been shredded is still possible, in theory, but in practice it becomes very difficult. Thus the use of a file shredder represents an adequate security measure for most applications.

There are both free and paid file shredders available, with varying degrees of sophistication and user-friendliness. With the many choices on the market, there is sure to be a file shredder program appropriate to any particular situation and required level of security.

Hard drive is your essential part of your PC. Hard drive has the composition of your business and life’s data. You are always conscious about the security of data. You always try to full protect your data from others. For that whatever software is needed you buy it and use it. When you think to give your computer to anyone else you just simply delete data and confirm that no one is going to see your data again you are fully protected but you are wrong my dear deleted file can be taken back from your hard disk. Professionals can do it very easily. Not even the professional one but one who has proper knowledge of computer can do this. Now your whole deleted data is in their hand. What you can do now? What happen that, every file in hard disk has an index number. When you give command to open that hard disk search that index number and open that file. But the actual scenario is that file is still in the hard disk but the space can be overwritten by you. If you will give your computer to that type of person who is shaky then absolutely take out your data and if important then can use or you can say that misuse that. So before giving to anybody con duct the process of disk wipe.

Charities are vulnerable to new, stricter data protection laws that have recently been introduced. These laws call for enhanced corporate governance and require a much stricter attention to information security for charities as a result. With Internet fraud a particular risk to charities and data always at risk, management is legally required to provide training to all of the staff on its books, whether they are full time or even just voluntary. Consequently some industry experts have developed a number of training modules to explain the situation to charities. Their status does not protect them from potential fines of up to £500,000 and even prison sentences. The Data Protection Act must be adhered to and the Information Commissioner wants to remind charitable organisations of the provisions of the new law, which came into force at the beginning of April, 2010.

New products provided by industry trainers have been checked by the Information Commissioner’s Office and can be very advantageous to charities of every size. It’s important to point out that there are opportunities as well as threats though, and note that compliance with the new legislation could help to make donors more loyal and significantly boost the amount of funding in future. Remember that information security requires you to look beyond credit card data security and be aware that all the data that you hold about employees, customers and other confidential information must be safeguarded. Charities must train their staff in information security and help to avoid fines, but if they look at it creatively they can use their efforts to positively improve donor loyalty and fund-raising efforts.

As of April 6, 2010, any organisation that breaches the requirements of the updated Data Protection Act can face fines of up to £500,000. If this wasn’t bad enough it is estimated that the cost of a data breach can be as much as £65 per each record compromised. Just think of the number of records that you actually hold and it doesn’t take much for you to imagine that the charity could be completely destroyed, financially, in serious cases. If any financial loss is incurred as a consequence of data theft, the charity may be forced to pay compensation to those affected. It’s very important to be proactive in this area now, to avoid penalties that could ruin a smaller charity.

As an example, the Alzheimer’s Society was unlucky enough to lose several laptops during a burglary of their office in Cardiff in 2009. The Information Commissioner was less than impressed and called the breaches “unacceptable.” The laptops contained personal information including names, addresses, national insurance identification and details of the salaries drawn by the Society’s 1000 staff members across the country. This is the first high-profile incident to be publicised and you can bet that the Society was particularly embarrassed by it, as well. You should do everything in your power to ensure that your charity is not the next!
